Project Overview
With key transactional system performance being hampered by volumes of ephemeral data, the increase in legal compliance and regulatory and corporate governance policies, information lifecycle management had become a key challenge for BHPB Iron Ore.
Client Requirements
Velrada was engaged by the client to design and develop an Enterprise wide Information Lifecycle Management (ILM) strategy business case, a current ILM state assessment and an archiving strategy study (in terms of findings, next step challenges and alignment to an ILM framework).
Our Solution
The proposed solution was designed to deliver a holistic ILM framework and archiving strategy to meet the business needs and appetite for change. The approach recognised the requirements within the six week elapsed time frame for:
- A high level ILM Framework and indicative roadmap
- An initial Information Classification Framework to provide operational guidance
- An Archiving Strategy & Roadmap for Transactional System
The steps taken to deliver the solution were as follow:
Define
- ILM Blockers identified
- Key findings & current IM maturity assessment
- Gap Analysis & Heat Map
- IM policies needed to enable an ILM Framework
- A customised ILM Framework for the organisation's consideration
- Dimensions needed to enable Information Classification
- An Information Classification Framework (ICF)
Develop
- Examples of using the ICF in classifying information assets
- An ILM framework roadmap overview
- Business alignment with other Enterprise Architecture initiatives to provide the right business system support
- An Archiving Strategy Schedule that takes on the following basic considerations:
- System in mind
- Data Type
- Business Function
- Retention & Disposal Criteria
- Storage Considerations
- A refined transactional system focused scope of the Archiving Strategy
- A refined IM maturity future state in the context of an ILM framework
Deliver
- The findings between the current state and the business ILM future needs
- A reusable and scalable Archiving Strategy with Roadmap planning considerations identified
- A standardised interpretation of the organisation's IM governance policies in the context of planning an ILM strategy
Outcomes
- Enabling the organisation to successfully move on to the next step of identifying the most logical business division to undertake ownership of these identified initiatives
- Identification of a staged approach by recommending the minimal set of core activities needed to start an Archiving Strategy Initiative
